Before you book a conference room, get the layout right for your delegates.
Theatre Style
There are rows of chairs facing a screen or stage and no tables to write on. This type of setup is typically used for large keynote presentations and briefings where most of the communication is going to be one way. The amount of people that can fit in a room in Theatre style is the maximum number of people that can fit in that room.
Boardroom Layout
A large single table sitting in the room with chairs around it is ideal for small meetings of 8-20 people. The formal atmosphere is conducive to productive discussion whilst the AV screen is best mounted at the end of the table.
Classroom Style
Rows of tables and chairs, with delegates facing the front of the room, enable delegates to take notes on the tables in front of them. This type of conference venue layout is suitable for training days and workshops where delegates will follow through a series of materials. The number of delegates that can fit in a classroom style set up is roughly half the number that could fit in a theatre style set up for the same conference venue. Cabaret or Rounds Layout
The round tables of 6-8 people enable good conversations and group work. This type of setting is ideal for workshops, team building sessions and away days. Bear in mind that the sightlines to a screen at the front of the room will be poor for people sitting with their backs to it.
Check Room Dimensions First
Check the floor area and ceiling height of the room that you will be using for your conference. Often the number of delegates a conference room can hold will depend on how you plan to use the room and how you will set up the room for your conference. For example, Tewkesbury Park has listed the floor dimensions for each of the rooms, along with alternative ways to use the rooms and the number of delegates that each layout would hold.
Plan for these issues in ten minutes to avoid them in a day.
